Objective #

The University of Tennessee Foundation, Inc. (UTFI) seeks to recruit the most qualified individuals for open positions. Recruitment and selection activities are guided by a commitment to diversity through equal employment opportunity and affirmative action. Women, minorities, veterans and individuals with disabilities are encouraged to apply. This policy provides required activities in the recruitment process.

Policy #

Recruitment and appointment processes vary greatly depending upon the category of the vacant position. The UTFI Office of Talent Management (UTFI TM) will post specific recruitment and appointment procedures for each category of search and a member of the UTFI TM staff will be available to assist the hiring office at each step of the process.

UTFI will implement recruitment and selection standards that support legal compliance, data protection and candidate experience as well as effectiveness in identifying and attracting well qualified candidates.

Recruitment can involve filling a new position, replacement of a vacant position or reassignment of an internal team member. Refer to TM0010 Position Classification Policy and TM0014 Reassignment Policy.

UTFI will execute the following core principles:

  1. Applicants will be chosen based on qualifications, experience and suitability for the position.
  2. Application procedure and details of the needs will be transparent.
  3. Applicants will be treated with respect. Personal information will be preserved confidentially in the process.
  4. Any reports by applicants of non-compliance in the recruitment process will be investigated and responded to in writing.
  5. The recruitment, selection and hiring process will include steps and documentation to optimize the experience through metrics and measures in support of workforce selection.
  6. It is the practice of UTFI to reimburse applicants outside the position location for expenses related to travel to campus for interviews. Applicants will be treated a guest travelers. Refer to FI0023 Travel Policy for guidelines.
  7. UTFI TM will continuously promote best practices in recruitment selection.
  8. Hiring procedures will be consistent and include reference checks as well as background checks for candidates being made an offer. Internal transfers/hires may not require background checks or references dependent on timing of most recent record of check.

Scope and Application #

This policy applies to all UTFI employees, including full-time staff, part-time staff, student workers, student interns and temporary staff for the organization.

Definitions #

New Position: A position created to meet the needs of the organization.

Existing Position: A vacant position to be filled.

Reassignment: The action of reassigning a current qualified staff member from their current role to another position.

Penalties/Disciplinary Action for Non-Compliance #

Violations of the policy and any subsections herein may be cause for disciplinary action up to and including termination of employment.
